Meeting Minutes : Recreation Committee

MINUTES OF January 12, 2010

Meeting was called to order by Rob Ketcham at 7:06 pm. Members of the Recreation Committee who were present include Kathy Shortsleeves and Mark Winslow.

Recreation Director Randy Adams was also present.

Mark Poljacik arrived at 7:20 pm

Recreation Committee members Kathy Brown, Scott Eugair, and Jenny Parker were not present.


The minutes of December 10, 2009 were read and accepted. K. Shortsleeves made the motion to accept the minutes as read.

M. Winslow seconded the motion. The motion passed unanimously.


R. Adams presented his January Report to the committee.


Memorial Field (a.k.a.-Lower Rec. Field)

The Recreation Director reported to the Recreation Committee that the Town Manager and Selectmen had put the amount of $13,000 in the FY 2011 towards the $21,000 quote to fix the drainage issues on Memorial Field. A Recreation Committee asked the Recreation Director why the entire amount was not budgeted. R. Adams stated that the Town Manager gave him three reasons why the entire amount was not budgeted: 1. the Town of Pittsford is trying to “level-fund” the over all budget from the current fiscal year. 2. Based on “promises of services” from folks in attendance like Joe Gagnon and Tom Carrara at the Select board meeting when the Recreation Director presented this quote the Town Manager is confident that the Recreation Department will be able to save money in these areas. 3. The Town Manager believes the a competitive bidding process begins he feels the over price tag will come in lower.

R. Adams encouraged all to attend up coming Select board meetings to get a better handle the current budget process and to question items if they have concerns.


Recreation Committee Meeting Days & Times

Based on feed back at the December 2009 Recreation Committee meeting the Recreation Director asked the Recreation Committee if they wanted to keep meeting on the second Tuesday of each month at 7:00 pm like we’ve traditionally done. Members of the Recreation Committee present indicated that they wished to stay at its normal day and time. M. Poljacik followed up on his remarks from December he stated “he would like it to be common procedure for the Recreation Committee to meet on the next night a quorum could be available if a Tuesday night meeting isn’t possible. This he feels will help the Recreation Director get more meetings in.

Town of Pittsford’s New Website

The Recreation Director invited everyone to his office so they could take a look at the towns new website. He was said the new site is much more user friendly and will be a huge asset to the Recreation Department and the community. M. Winslow suggested that messages such as “game cancellations” could be posted to the website.

All Other Business

M. Winslow had heard that the some of the kids at Otter Valley did not find out about the December Teen Dance until a day or two before the event. He asked the Recreation Director to think about alterative ways he could inform the students at OV sooner. Chairman R. Ketcham suggested getting cell numbers from students and texting the information.

M. Poljacik was approached by a resident of Pittsford and asked if the Recreation Department would be interested in sponsoring a town wide garage/lawn sale.

With no further business to discuss, M. Winslow made the motion to adjourn the meeting.

M. Poljacik seconded the motion. The motion passed unanimously.

The meeting adjourned at 8:00 pm.
