MINUTES OF October 11, 2011

TOWN OFFICES @ 6:30 pm

Meeting was called to order by Rob Ketcham at 6:30 pm. Members of the Recreation Committee who were present include Bill Crossmon, Jenny Parker, Mark Poljacik, and Kathy Shortsleeves.

Charla Helton and Recreation Director Randy Adams were also present.

Recreation Committee members Scott Eugair, and Mark Winslow were not present.

Bill Crossmon left the meeting at 7:01 pm.

ADMINISTRATIVE DUTIES

The minutes of September 14, 2011 were read and accepted. K. Shortsleeves made the motion to accept the minutes as read.

J. Parker seconded the motion. The motion passed unanimously.

RECREATION DIRECTOR’S REPORT

R. Adams presented his October 2011 report to the committee. He spoke about the programs the Recreation Department was currently offering during the fall and noted that residents can find this information in the Pittsford Newsletter that is produced quarterly. The Recreation Director also discussed programs that are being scheduled during the winter.

OLD BUSINESS

Disc Golf Tournament for Irene Relief

The Recreation Director reported that he was working to put the tournament together and is scheduled for October 22, 2011.

Recreation on Facebook

At the September 2011 Recreation Committee meeting it was the consensus of the Recreation Committee members present that the Recreation Director should place the Pittsford Recreation Department on Facebook. The Recreation Director, with the assistance of Recreation Committee, Vice Chair, Kathy Shortsleeves, on Friday, October 7, 2011 launched a Facebook page for the Recreation Department.

Budget FY 2013

At the September 2011 Recreation Committee meeting the Recreation Director handed out copies of the current budget so Recreation Committee members had an opportunity to take them home with them and go over them at their own leisure. At the October meeting the Recreation Director asked if anyone had any questions on the budget process, where the amounts come from for each line item, etc…

Fall Programs

B. Crossmon asked about the possibility of having older more experienced referees for the U10 soccer games hosted at the Recreation Area.

RECREATION DIRECTOR’S REPORT

R. Adams presented his September 2011 report to the committee. Mr. Adams spent time discussing the Recreation Area, and the damage it sustained during Topical Strom Irene. The Recreation Director stated that the Recreation Area escaped major damages especially compared to other communities such as Brandon, Killington, & Rutland.

OLD BUSINESS

Swim Area Closing Date

The last day the swim area was scheduled to be open was Tuesday, August 25, 2011, the day before Lothrop students were scheduled to return to school. The swim area had to close on Sunday, August 28, 2011 when Irene hit and did not reopened for the season.

Summer Programs

R. Adams spent time discussing how the summer programs went summer for the Recreation Department. He talked about day camp went.

Recreation on Facebook

It was the consensus of the Recreation Committee members present that the Recreation Director should place the Pittsford Recreation Department on Facebook. The Recreation Director will work with Recreation Committee, Vice Chair, Kathy Shortsleeves to do this.

Irene Relief Ideas

R. Adams informed the committee that the Pittsford Fire Department is doing a fund raising campaign for Irene victims. The group is organizing many different ways that they can raise funds programs he was working on. The group’s next meeting is Monday, September 19, 2011 @ 6:30 pm at the Pittsford Fire House.

R. Adams verbally presented his April 2011 report to the committee. M. Winslow asked for more information about the attendance clause that was discussed at the March 2011 meeting.

OLD BUSINESS

Pittsford Day

The Recreation Director informed that Pittsford Day 2011 has been scheduled for Saturday, June 25. The next Pittsford Day Committee meeting is scheduled for Thursday, April 14 6 pm at the Town Offices.

Committee Appointments (Chairman & Vice Chair)

R. Adams reported that he attended the April 6, 2011 meeting at which time the Select Board approved the Recreation Committee’s recommendation that R. Ketcham be the Chairperson and K. Shortsleeves as Vice Chairperson.

2011 Recreation Area Fees

Also at the April 6, 2011 The Select Board approved the Recreation Committee’s motion to keep the Recreation Area fees as they were in 2010.

NEW BUSINESS

All Other Business

K. Shortsleeves asked the Recreation Director if a decision has been made in reference to allowing the Model T Club (that she and her husband belong to) to use the Recreation Area to eat a packed lunch.  The group would be bringing there own lunches and only would be at the Recreation Area for a couple of hours. The group is scheduled to be touring through VT during the summer of 2012. The group will be taking day trips and K. Shortsleeves has suggested to the Model T group that they visit the Pittsford Recreation Area. R. Adams stated the Recreation Area would welcome in the group.

EXECUTIVE SESSION

In accordance with 1VSA 312 (b), where premature general public knowledge would clearly place the Municipality or person involved at a substantial disadvantage, the Board unanimously agreed to enter into Executive Session for the purpose of a Personnel Issues at 7:07pm.

With no further business to discuss, M. Winslow made the motion to adjourn the meeting.

OLD BUSINESS

Winter Celebration

On Saturday, February 26, 2011, the Recreation Department and the Pittsford Trails Committee co-sponsored the ninth annual Winter Celebration. For the first time this event was held at the Pittsford Recreation Area. Thanks to a tremendous amount of help from the Town of Pittsford Road Crew and the Sugar Hollow Sno-Mads this event was set up to be a real fun time for the entire community. Due to multiple snow storms the week of the event Shawn Erickson and his crew plowed out the Recreation Area parking lots on a couple occasions so participants could enter and park safely. The Sugar Hollow Sno-Mads groomer operators Bernie Reynolds and Sam Markowski went over beyond what they were asked to do. They groomed special trails all around the upper and lower fields for cross country skiers, snowshoeing, and even sliding. These trails were so beautiful and smooth that all ages could and did enjoy them. Participants enjoyed free hot dogs, brownies, and hot chocolate. Thank you to Bob Harnish, the Pittsford Trails Committee Chairman, for his help organizing the event. Thank you to Rob Ketcham, the Pittsford Recreation Committee Chair for all his help and support all day long , especially for making sugar on snow for everyone to enjoy.

Pittsford Day

The Recreation Director informed that Pittsford Day 2011 has been scheduled for Saturday, June 25. The next Pittsford Day Committee meeting is scheduled for Thursday, March 10 at 6 pm at the Town Offices.

NEW BUSINESS

Committee Appointments (Chairman & Vice Chair)

Since this was the 1^st Recreation Committee meeting after Town Meeting, the Recreation Committee had to elect a Chairperson and a Vice Chairperson. K. Shortsleeves made the motion to re-elect Rob Ketcham as Chairman.

J. Parker seconded the motion. The motion passed unanimously.

J. Parker made the motion to re-elect Kathy Shortsleeves as Vice-Chairman.

B. Crossmon seconded the motion. The motion passed unanimously.

R. Adams will forward these recommendations to the Select Board for their approval.

2011 Recreation Area Fees

R. Adams stated he still believes after last spring’s increases there are no reasons why to adjust the rates at this point and suggested to Recreation Committee that rates stay the same as they were in 2010. J. Parker made the motion to recommend to the Select Board that the 2011 Recreation Area Fees to be set at the same rate as last season.

B. Crossmon seconded the motion. The motion passed unanimously.

All Other Business

At the request of a Recreation Committee member, the Recreation Director brought up an attendance clause.

OLD BUSINESS

Winter Celebration

The idea of hosting a Winter Carnival at the Recreation Area was discussed at the November 2010 Recreation Committee Meeting after J. Parker asked if the Recreation Department was going to sponsor a Winter Celebration. Last year’s event was cancelled due to the weather and ground conditions. The Recreation Director confirmed again that it was the consensus of the committee to hold the Winter Celebration at the Recreation Area this winter, it was. They felt it would be a great way to get more usage out of the Recreation Area, plus it would give residents an opportunity to visit Recreation Area during the winter. In the past, the program has been held on the Caldwell Trail and some details would be need discussed with the Pittsford Sno-mads.

Pittsford Day

The Recreation Director informed that Pittsford Day 2011 would be happening next summer. The Pittsford Day committee will be calling a meeting soon after holiday season to begin the planning process. B. Crossmon mentioned an idea of having a band play on the night of the event.

NEW BUSINESS

FY 2012 Recreation Department Budget

The Recreation Director stated that he presented the Recreation Department FY 2012 budget to the Select Board at their December 1, 2010 meeting.

Cal Ripken Baseball

Recreation Director, Randy Adams reported that he and the other town representatives have been looking at joining Cal Ripken Baseball. Cal Ripken VT approached the Tri-Town Youth League last summer to see if there would be any interest in becoming sanctioned by them. Tri Town Leagues Representatives were invited to a meeting on December 7 to discuss it. The Recreation Director stated one of the main reasons why the Tri Town League would be so that the major league baseball players would have a path to national tournaments, but that he is still collecting more information before he decides which way to go. The baseball league has been independent since before 2001 when the Recreation Director was hired. Being in a sanctioned league would create a great deal of added work for all the towns involved.
