MINUTES OF February 15, 2012

TOWN OFFICES @ 6:30 pm

Meeting was called to order by Rob Ketcham at 6:55 pm. Members of the Recreation Committee who were present include Bill Crossmon, Jenny Parker, & Kathy Shortsleeves.

Recreation Director Randy Adams was also present.

Recreation Committee member Mark Winslow was not present.

Mark Poljacik arrived at the meeting at 7:10 pm

Jenny Parker left the meeting at 7:45 pm

Guest Present includes John White. Mr. White left the meeting at 7:45 pm.

ADMINISTRATIVE DUTIES

The minutes of December 13, 2011 were read and accepted. B. Crossmon made the motion to accept the minutes as read.

J. Parker seconded the motion. The motion passed unanimously.

RECREATION DIRECTOR’S REPORTS

R. Adams presented his January 2012 and his February 2012 reports to the committee. Due to a lack of a quorum at the January 2012 Recreation Committee meeting.

OLD BUSINESS

Recreation Committee Vacancy

Mr. John White submitted a “Letter of Interest” to serve on the Recreation Committee. J. White introduced himself to the group and answered questions the Recreation Committee presented. R. Adams stated that John White has been a volunteer youth baseball & soccer coach for many years for the Pittsford Recreation Department. After John White exited the meeting, B. Crossmon made the motion that John White be appointed as a member of the Recreation Committee, to fill the seat that Scott Eugair held, that expires 2013.

J. Parker seconded the motion. The motion passed unanimously.

Winter Celebration 2012

With the help of the Recreation Committee the Recreation Director scheduled the 2012 Winter Celebration for Saturday, February 25 (and Saturday, March 3 as a snow date) was chosen as the date for the 2012 Winter Celebration. To be held at the Recreation Area. Due to lack of snow cover the Recreation Director and the Recreation Committee officially changed the date to Saturday, March 3, 2012 @ 1:00 pm.

Winter Programs

Recreation Director outlined the Winter Programs the Recreation Department will be offering late winter. Safe Sitter, Kickboxing/Aerobics, & the Learn to ski/snowboard program at Middlebury Snow Bowl.

NEW BUSINESS

Summer Basketball

The Recreation Department is working on sponsoring a summer basketball skills camp perhaps the second week of August, 2012.

NEW BUSINESS

Recreation Committee Vacancy

The Recreation Director stated that no letters of interested had been received at this time. He had heard of a couple different names of residents who might be interested, but he has not heard anything from those folks.

RECREATION DIRECTOR’S REPORT

R. Adams presented his November 2011 report to the committee. He was happy to report that the Craft Fair rose over $848 that went towards the “Pittsford Santa Fund”.

OLD BUSINESS

Disc Golf Tournament for Irene Relief

The Recreation Director reported that the tournament raised $210 for the Irene Recovery Fund.

Recreation on Facebook

At the September 2011 Recreation Committee meeting it was the consensus of the Recreation Committee members present that the Recreation Director should place the Pittsford Recreation Department on Facebook. The Recreation Director, with the assistance of Recreation Committee, Vice Chair, Kathy Shortsleeves, on Friday, October 7, 2011 launched a Facebook page for the Recreation Department. The Recreation Director asked the Recreation Committee to help him keep a close eye on the site to make sure it is being used properly.

Budget FY 2013

The Recreation Director attended the November 16, 2011 Select Board meeting to present the Recreation Department FY 2013 Budget. The Recreation Department level funded the Department with the hopes of gaining the capital to work projects at the Recreation Area, such as Swim Area Fencing, Guard Rail Replacement, & New Basketball Court/Skating Rink.

Fall Programs

The Recreation Director was happy to report that the fall programs ran strong. The Pittsford Pumpkin Party had it’s largest attendance with 250 folks in attendance. M. Poljacik commented on how much fun he had at the benefit Disc Golf tournament, on October 22, 2011. He went to say the Recreation Department should sponsor more disc events in the future.

All Other Business

The Recreation Director informed the Recreation Committee that Scott Eugair has chosen to step down from the Recreation Committee. Mr. Eugair joined the committee in 2006. He was important part of the group for a long time and his vast knowledge of the Recreation Area and its history, will be missed.

Charla Helton and Recreation Director Randy Adams were also present.

The minutes of September 14, 2011 were read and accepted. K. Shortsleeves made the motion to accept the minutes as read.

RECREATION DIRECTOR’S REPORT

R. Adams presented his October 2011 report to the committee. He spoke about the programs the Recreation Department was currently offering during the fall and noted that residents can find this information in the Pittsford Newsletter that is produced quarterly. The Recreation Director also discussed programs that are being scheduled during the winter.

OLD BUSINESS

Disc Golf Tournament for Irene Relief

The Recreation Director reported that he was working to put the tournament together and is scheduled for October 22, 2011.

At the September 2011 Recreation Committee meeting the Recreation Director handed out copies of the current budget so Recreation Committee members had an opportunity to take them home with them and go over them at their own leisure. At the October meeting the Recreation Director asked if anyone had any questions on the budget process, where the amounts come from for each line item, etc…

Fall Programs

B. Crossmon asked about the possibility of having older more experienced referees for the U10 soccer games hosted at the Recreation Area.

RECREATION DIRECTOR’S REPORT

R. Adams presented his September 2011 report to the committee. Mr. Adams spent time discussing the Recreation Area, and the damage it sustained during Topical Strom Irene. The Recreation Director stated that the Recreation Area escaped major damages especially compared to other communities such as Brandon, Killington, & Rutland.

OLD BUSINESS

Swim Area Closing Date

The last day the swim area was scheduled to be open was Tuesday, August 25, 2011, the day before Lothrop students were scheduled to return to school. The swim area had to close on Sunday, August 28, 2011 when Irene hit and did not reopened for the season.

Summer Programs

R. Adams spent time discussing how the summer programs went summer for the Recreation Department. He talked about day camp went.

Irene Relief Ideas

R. Adams informed the committee that the Pittsford Fire Department is doing a fund raising campaign for Irene victims. The group is organizing many different ways that they can raise funds programs he was working on. The group’s next meeting is Monday, September 19, 2011 @ 6:30 pm at the Pittsford Fire House.

R. Adams verbally presented his April 2011 report to the committee. M. Winslow asked for more information about the attendance clause that was discussed at the March 2011 meeting.

OLD BUSINESS

Pittsford Day

The Recreation Director informed that Pittsford Day 2011 has been scheduled for Saturday, June 25. The next Pittsford Day Committee meeting is scheduled for Thursday, April 14 6 pm at the Town Offices.

Committee Appointments (Chairman & Vice Chair)

R. Adams reported that he attended the April 6, 2011 meeting at which time the Select Board approved the Recreation Committee’s recommendation that R. Ketcham be the Chairperson and K. Shortsleeves as Vice Chairperson.

2011 Recreation Area Fees

Also at the April 6, 2011 The Select Board approved the Recreation Committee’s motion to keep the Recreation Area fees as they were in 2010.

NEW BUSINESS

All Other Business

K. Shortsleeves asked the Recreation Director if a decision has been made in reference to allowing the Model T Club (that she and her husband belong to) to use the Recreation Area to eat a packed lunch.  The group would be bringing there own lunches and only would be at the Recreation Area for a couple of hours. The group is scheduled to be touring through VT during the summer of 2012. The group will be taking day trips and K. Shortsleeves has suggested to the Model T group that they visit the Pittsford Recreation Area. R. Adams stated the Recreation Area would welcome in the group.

EXECUTIVE SESSION

In accordance with 1VSA 312 (b), where premature general public knowledge would clearly place the Municipality or person involved at a substantial disadvantage, the Board unanimously agreed to enter into Executive Session for the purpose of a Personnel Issues at 7:07pm.

With no further business to discuss, M. Winslow made the motion to adjourn the meeting.
